Overview
If you’re looking for a smarter way to produce quotes and variations or are finding your quoting and variation process is tiresomely laborious, you may just find the solution in Client Manager by Keystone Construction Software. This powerful platform has been streamlining the quote and variation process in the construction industry for more than 20 years, and as an added bonus, uses Databuild’s strengths to provide accurate, fast and professional estimates.
Seamlessly integrating with Databuild, Client Manager interfaces with Databuild’s cost centre structure and pricelist, giving you unparalleled system transparency. A considerable improvement to the traditional method of documenting records, this technology exchanges up-to-date information, maximising efficiency while minimising errors and costs.
Client Manager uses the Databuild Client List, and incorporates modules for Quotations, Revisions, Pre-Contract Variations, Post-Contract Variations, along with Product and Colour Selections. Giving you the opportunity to produce a build-up for each client request, which is populated from the current Databuild Pricelist, all accepted line items can be used to update the Databuild Bill of Quantities. Simultaneously, all unaccepted line items are retained in the system for future reference.
From enquiry through to build, Client Manager offers a simplified quoting and variation solution for your business.

Key Modules & Features
• Client Details
The ‘Client Details’ module is primarily a lookup of the Databuild client list. Given the appropriate permissions, the client details can be edited from within the Client Manager software and saved back to Databuild. Additional fields are included to record site specific land details along with additional job details.
• Quotes/Tenders
The ‘Quotes/Tenders’ module is used to prepare and record client estimates from the initial costing phase through to the final proposed contract. To keep a timeline of costings the system can generate quote revisions. The system also allows for a preliminary agreement to be generated, once accepted all further client requests leading up to the building contract are processed through the ‘Pre-Contract Variations’ module. Unit development projects can also be broken down into the overall site quote along with costings on a unit by unit basis.
Quotes/Tenders are able to be broken down into user defined sections:
- 'Inclusions' - notes section
- 'Exclusions' - notes section
- 'Site Costs'
- 'Statutory Requirements'
- 'Provisional Sums'
- 'Client Requested Upgrades'
- 'Promotions'
- 'Additional Options' - the listed options are not included in the quoted total price
• Quote Revisions
The ‘Quotations’ revision tab enables the quote to be separated into ‘Initial Costing’ and provides the capacity to generate multiple revisions in order to keep a timeline on client meetings and requests.
• Quote Base Model
The ‘Quotations’ base model tab allows the sales estimator or salesperson to select a base model and model option from a library of standard models. The available model options are filtered based on the selected standard model.
• Quote Cover Page
This section is designed to allow for a tailored cover page, including a pull-down list of available database fields for the various reporting phases of the quote/tender process.
• Quote Item BuildUp
The ‘Quotations’ build-up section allows the sales estimator to price individual line items using the builders price from the Databuild catalogue. A default mark-up is set up in the system and can be overridden on a line by line basis. The total build-up retail price is rounded based on the default system setting. ie $0.01, $0.10 to $1.00
• Standard Models
The ‘Standard Models’ form looks up the builders cost from Databuild and can then apply the builder’s mark-up to control the sales price. The sales price ‘Valid to Date’ can also be applied in this module. Each model can have an individual list of facade upgrades.
• Pre-Contract Variations
The ‘Pre-Contract Variations’ module keeps track of all pre-contract costings issued to the client after the acceptance of the 'Preliminary Agreement'. Each costing allows for multiple line items, this enables the system to group items on an individual costing document. Much like the quotes, costing requests are raised on an individual line item basis. These can then be costed utilising the Databuild cost centre structure, along with catalogue items and/or recipes, to form a build-up per line item. Only accepted line items are included in the final ‘Pre-Contract Variation’ report. Un-accepted items are retained in the system for future reference.
• Post-Contract Variations
The ‘Variations’ module keeps track of all post contract costings issued to the client. Each variation allows for multiple line items. This enables the system to group items on an individual variation document based on pre-start meetings or phone conversations. Much like the quotes, variation costing requests are raised on an individual line item basis. These can then be costed utilising the Databuild cost centre structure, along with catalogue items and/or recipes, to form a build-up per line item. Only accepted line items are included in the final ‘Contract Variation’ report. Un-accepted items are retained in the system for future reference.
• Variation - Databuild Codes
The ‘Variations’ Databuild code dropdown allows users to control their own costings using a pre-priced items list maintained by the Databuild catalogue administrator. The items list pricing is inclusive of builder’s margin and GST.
• Variation - BuildUp
The ‘Variation’ build-up section allows the variation estimator to price individual line items using the builders price from the Databuild catalogue. A default mark-up is set up in the system and can be overridden on a line by line basis. The total build-up retail price is rounded based on the default system setting. ie $0.01, $0.10 to $1.00
• Product & Colour Selector
The client product and colour (addendum to the specification) selection process is a database driven menu system designed to utilise standard specification templates and facilitate the product and colour selection process. Client selections are then able to be uploaded to the Databuild purchase orders to eliminate costly order selection errors.
